Photography Backup and Disaster Recovery: Never Lose a Client's Photos
Losing a client's event photos is the worst thing that can happen to a photographer. It's not just lost income — it's a destroyed reputation. One corrupted card, one stolen laptop, one hard drive failure, and years of trust evaporate. Here's how to make photo loss impossible.
The 3-2-1 Backup Rule
- 3 copies of every photo.
- 2 different storage types (e.g., SSD + cloud).
- 1 offsite copy (cloud or a drive stored at a different location).
During the Event
- Dual card slots: Use a camera with dual card slots. Write to both cards simultaneously (mirror mode). If one card fails, you have a complete backup.
- Don't format cards at the event: Never format a card until photos are backed up to at least two other locations.

- Active projects (0-3 months): Fast SSD on your computer for editing access.
- Recent archive (3-12 months): External SSD or HDD. Accessible but not on your main drive.
- Deep archive (1+ years): Cloud storage or offline hard drives stored safely.
- Client galleries: Keep galleries live on Kamero for at least 6-12 months. Clients appreciate long-term access.
When Disaster Strikes
- Corrupted card: Don't panic. Don't format. Use recovery software (PhotoRec, Disk Drill, or R-Studio). Success rate is 80-90% if the card hasn't been overwritten.
- Stolen laptop: This is why offsite/cloud backup exists. File a police report and restore from your cloud backup.
- Hard drive failure: If the drive clicks or isn't recognized, professional data recovery services can often retrieve data (₹10,000-₹50,000 depending on severity).
- Accidental deletion: Stop using the drive immediately. Recovery software can retrieve deleted files if the space hasn't been overwritten.
