Photography Contracts and Pricing Templates: Protect Your Business

A handshake deal is not a contract. Every photography job — from a ₹10,000 birthday party to a ₹5,00,000 wedding — needs a written agreement. Here's what to include and how to structure your pricing.

Essential Contract Clauses

Scope of work

• Event date, time, and location.
• Number of hours of coverage.
• Number of photographers.
• Deliverables: number of edited photos, delivery format, delivery timeline.
• What's NOT included: raw files, prints, albums (unless specified).

Payment terms

• Total amount and payment schedule (50/30/20 recommended).
• Accepted payment methods: bank transfer, UPI, cash.
• Late payment penalty: 2% per week after due date.
• Photos are delivered only after full payment is received.

Cancellation policy

• Client cancellation 30+ days before: 50% refund of advance.
• Client cancellation 15-30 days before: 25% refund.
• Client cancellation under 15 days: no refund.
• Photographer cancellation: full refund + assistance finding a replacement.

Usage rights

• Client gets personal use rights (social media, prints, personal sharing).
• Photographer retains copyright and portfolio usage rights.
• Commercial use by client requires separate licensing agreement.
• Photographer can use images for marketing, portfolio, and social media.

Pricing Structure Templates

Wedding photography packages

• Essential (₹25,000-₹50,000): 4-6 hours, 1 photographer, 200-300 edited photos, online gallery delivery.
• Premium (₹75,000-₹1,50,000): Full day, 2 photographers, 500-800 edited photos, real-time delivery via Kam-Sync, branded gallery.
• Luxury (₹2,00,000+): Multi-day coverage, 2-3 photographers, 1000+ edited photos, real-time delivery, photo sales setup, printed album.

Corporate event packages

• Half-day (₹15,000-₹30,000): 4 hours, 1 photographer, 150-200 edited photos.
• Full-day (₹30,000-₹60,000): 8 hours, 1-2 photographers, 300-500 edited photos, same-day delivery.
• Conference (₹50,000-₹1,00,000): Multi-day, multiple photographers, real-time delivery, headshot station.

Red Flags in Client Negotiations

• "Can you do it for less?" — Offer a smaller package instead of discounting.
• "We'll pay after the event" — Always collect advance. No exceptions.
• "We want all the raw files" — Explain that raw files are unfinished work. Offer more edited photos instead.
• "My friend can do it cheaper" — Smile and wish them well. Don't compete on price.
