Same-Day Photo Delivery: How to Set Up On-the-Spot Sharing at Events

The expectation has shifted. Guests no longer want to wait days or weeks for event photos. They want their photos now — while the excitement is fresh, while they are still at the venue, while the moment is alive. Same-day photo delivery is not a luxury anymore. It is the standard.

This guide walks you through setting up on-the-spot photo delivery at any event using Kam-Sync and Kamero's AI-powered platform.

What Is Same-Day Photo Delivery?

Same-day delivery means guests receive their event photos before they leave the venue — or within minutes of photos being taken. This is different from traditional workflows where photographers spend days editing and uploading before sharing.

With the right setup, you can deliver photos to guests in under 60 seconds from the moment the shutter clicks.

The Technology Behind It: Kam-Sync

Kam-Sync is Kamero's camera-to-cloud technology that connects your camera directly to the cloud via FTP. Here is how it works:

  1. Camera captures photo — you shoot as you normally would.
  2. FTP transmits to cloud — the photo is sent from your camera (via Wi-Fi transmitter or tethered connection) to Kamero's cloud servers.
  3. Review before publish — optionally review and approve photos before they go live in the gallery.
  4. Guest access — approved photos appear instantly in the event gallery, accessible via QR code or link.
  5. AI face matching — guests take a selfie and instantly see every photo they appear in.

Equipment You Need

Camera setup

  • Any camera with FTP support: Most professional cameras from Canon, Nikon, and Sony support FTP transfer natively or via a Wi-Fi transmitter.
  • Wi-Fi transmitter: If your camera does not have built-in Wi-Fi FTP, use an external transmitter (Canon WFT series, Nikon WT series, or third-party options).
  • Stable internet: A dedicated mobile hotspot or the venue's Wi-Fi network. We recommend a dedicated 4G/5G hotspot for reliability.

Software setup

  • Kamero account with Kam-Sync enabled.
  • Event gallery created in advance with QR codes generated.
  • FTP credentials configured on your camera (provided by Kamero when you enable Kam-Sync).

Step-by-Step Setup Guide

Step 1: Create your event gallery (before the event)

  • Log into Kamero and create a new event.
  • Set the event name, date, and branding (logo, colors).
  • Enable Kam-Sync in the event settings.
  • Generate and download QR codes for the event.

Step 2: Configure your camera FTP settings

  • Enter the FTP server address provided by Kamero.
  • Enter your unique credentials (username and password).
  • Set the transfer mode to "Auto transfer" so every photo is sent immediately after capture.
  • Test the connection before the event — take a test shot and verify it appears in your Kamero dashboard.

Step 3: Set up internet connectivity at the venue

  • Bring a dedicated 4G/5G mobile hotspot — do not rely solely on venue Wi-Fi.
  • Test upload speeds: you need at least 5 Mbps upload for smooth JPEG transfer.
  • For RAW+JPEG shooters: configure your camera to FTP only the JPEG files to save bandwidth.
  • Position the hotspot centrally if you are moving around the venue.

Step 4: Place QR codes at the venue

  • Print QR codes on table cards, standees, or posters.
  • Place them at the entrance, registration desk, every table, and near the stage.
  • Include a short instruction: "Scan to see your event photos instantly."
  • Consider adding the QR code to the event program or name badges.

Step 5: Shoot and deliver

  • Start shooting — photos will automatically upload to the cloud.
  • If you enabled review-before-publish, check your phone periodically to approve photos.
  • Guests scanning the QR code will see new photos appearing in real-time.
  • Guests using the selfie feature will get their personalized photos within seconds.

Multi-Camera Setup

For larger events with multiple photographers, Kam-Sync supports multi-camera workflows:

  • Each camera connects to the same event gallery using its own FTP credentials.
  • Photos from all cameras appear in a single unified gallery.
  • Duplicate detection prevents the same photo from appearing twice if accidentally uploaded from multiple sources.
  • Remote album switching lets you direct photos from different cameras to different albums (ceremony, reception, cocktails) without touching the camera.

Review-Before-Publish Workflow

Not every photo should go live immediately. The review workflow gives you control:

  • Photos upload to a staging area first.
  • You (or an assistant) review photos on a phone or tablet.
  • Approve photos with a single tap — they go live instantly.
  • Reject photos that are out of focus, poorly composed, or unflattering.
  • This takes about 2-3 seconds per photo, adding minimal delay to delivery.

Handling Common Challenges

Slow or unreliable internet

  • Shoot JPEG instead of RAW to reduce file sizes (a 10MB JPEG uploads much faster than a 50MB RAW).
  • Use a bonded cellular connection (two SIM cards) for redundancy.
  • Kam-Sync queues photos when connectivity drops and resumes upload automatically when the connection returns.

High-volume events (1000+ guests)

  • Use multiple photographers with multi-camera Kam-Sync setup.
  • Enable the review workflow to maintain quality at volume.
  • Pre-announce the QR code access via email or event app to reduce scanning bottlenecks.

Outdoor venues with poor connectivity

  • Scout the venue in advance and test cellular coverage.
  • Bring a signal booster if needed.
  • Position your hotspot at the highest point possible for better signal.
  • Have a backup plan: tether to your phone if the hotspot fails.

The Guest Experience

From the guest's perspective, same-day delivery feels like magic:

  1. They scan a QR code at their table.
  2. They see a beautiful branded gallery with photos already appearing.
  3. They take a selfie and instantly see every photo they are in.
  4. They download and share their favorites on social media — all before dessert is served.

This experience consistently generates excitement, social sharing, and positive feedback for both the event organizer and the photographer.

Cost and ROI

Same-day delivery does not require expensive equipment. Most photographers already own cameras with FTP support. The additional costs are:

  • A mobile hotspot (or use your phone's hotspot).
  • Kamero subscription with Kam-Sync enabled.
  • Printed QR codes (minimal cost).

The ROI is significant: photographers who offer same-day delivery can charge a premium, event organizers see higher guest satisfaction, and the social media exposure from real-time sharing is invaluable marketing.

Checklist: Day-of-Event

  1. Verify camera FTP settings and test connection.
  2. Confirm hotspot is charged and has data.
  3. Place QR codes at all key locations.
  4. Take a test photo and verify it appears in the gallery.
  5. Brief the event organizer on how guests can access photos.
  6. Start shooting — Kam-Sync handles the rest.
